Job Title: Financial Secretary 

Position Status: Part-time (typically 10 – 15 hours per week) 

Overview of Position 

The Financial Secretary is hired by the Session with the responsibility to maintain the Church’s financial records, including general ledger, payroll, accounts payable, and contributions. The position is regularly authorized to work ten (10) hours per week with occasional additional hours as agreed upon and approved by the Head of Staff. The Financial Secretary reports to the Head of Staff. This position will also work closely with the PCWS Treasurer and other volunteers.  

Job Responsibilities and Duties 

  1. Account for Pledges
    1. Obtain and record pledges made during the annual stewardship drive
    2. Post weekly contributions to database, applying contributions to appropriate funds and individuals
    3. Prepare quarterly and end-of-year giving statements
    4. Communicate receipt of large gifts for acknowledgement
  2. Management of financial transactions and accounting
    1. Process bills for payment, ensuring appropriate coding and approvals are in place
    2. Process journal entries as needed
    3. Maintain fiscal records, ensuring accounts and funds current
    4. Reconcile bank accounts with check register.
    5. Review, reconcile and obtain approvals for monthly credit card bills
  3. Payroll
    1. Process bi-weekly payroll, obtain approvals and process direct deposits and manual checks
    2. Pay monthly payroll taxes, file quarterly and annual payroll returns, prepare end of year W-2 forms, prepare 1099 forms and maintain payroll records
  4. Financial Reporting
    1. Submit monthly report to volunteer Treasurer, Head of Staff, and Finance Elder of YTD  spending and earnings, and budgeting
    2. Prepare year-end financial reports for annual meeting
    3. Run ad hoc financial reports, as needed
    4. Back up reports, as needed or required
    5. Prepare and certify Annual PCI DSS Compliance Validation
  5. Financial Planning and Control
    1. Assist in maintaining and revising written accounting procedures in the areas of cash  processing, general ledger, accounts payable, payroll, and financial housekeeping
    2. Assist Session in preparing a yearly budget draft for review and adoption by the Session
    3. Prepare for and cooperate with those appointed to perform occasional audits of financial records.

Job Skills and Requirements 

Required: 

  1. Minimum of 1-2 years practical experience in bookkeeping, accounting, account reconciliation,  payroll, etc. 
  2. Demonstrated proficiency in computer skills including MS Word and Excel, and accounting  software. 
  3. Attention to detail and precision in account reconciliation and report generation.
  4. A commitment to confidentiality regarding all account records, both of the church and staff, and the members. 
  5. Ability to work independently, manage workload, and meet deadlines with minimal supervision.
  6. Pass a criminal background check.

Job Title:  Child Care Attendant

The Presbyterian Church of Western Springs is looking for a nurturing adult (18 years and older) to care for our infants-young children on Sunday mornings 9:15-11:15 am and periodically at other times. The Childcare Attendant’s primary responsibility is to provide attentive care to the needs of our infants-young children while maintaining a safe environment.

Ideally, all applicants must have childcare experience and completion of First Aid. Finalists must also successfully clear a criminal background check and attend the PCWS Safe Space training.  Additional hours may be offered during evenings, weekdays, or weekend events.

Primary Duties and Responsibilities:

  • Setup and prepare childcare space upon arrival
  • Greet and welcome families and facilitate established check-in and check-out procedures
  • Explain childcare program practices and expectations to new families and answer any questions
  • Ensure that all Safe Gatherings protocols are followed
  • Document and report any injuries, incidents, or other important information to supervisor in a timely manner
  • Follow established sanitary and hygiene procedures
  • Understand and follow emergency protocols when necessary
  • Collaborate with other childcare providers by sharing diapering, feeding, and other duties
  • Clean and reset childcare space before leaving

Job Requirements:

  • Minimum of six months experience working with children in a childcare environment.
  • High School Diploma or equivalent required.

Salary:  $14/hour
